Via Nova Consultants (“Via Nova”, “we”, “us”) is responsible for the personal information described in this policy. It applies to everyone who visits our website, contacts us by any means, attends a session or class, or uses our services.
If you give us information about another person, such as a parent, sponsor, spouse or child, you confirm that you have their permission to do so and that they have been told about this policy.
This policy should be read with our terms and conditions.
Information we collect
We collect what you give us, what our website records automatically, and what others send us about your applications.
Information you give us
- Identity: name, date of birth, gender, nationality, photographs, and CNIC or passport details
- Contact: phone and WhatsApp number, email and home address
- Education and work: transcripts, degrees, certificates, test scores, CVs and employment history
- Financial: bank statements, sponsor details, income, tax and property records, and payment records
- Family: details of parents, sponsors, spouse and children where an application needs them
- Travel and immigration history: previous visas, refusals, travel and any legal matters
- Health: medical information, only where an application requires it
- Your enquiry: the service, destination and level of study you choose, and your messages, calls and feedback
Information collected automatically
When you use our website, we and our service providers may record your IP address, device and browser type, approximate location, pages viewed, time spent and the website that referred you, using cookies and similar technologies.
Information from others
We receive information about your applications from universities, embassies, visa centres, test providers and our partners, and from anyone who refers you to us. If you message us on WhatsApp, Facebook or Instagram, we receive the information those platforms share with us.
How we use your information
We use your information to deliver our services, keep in touch with you, run and improve our business, and protect our legal position.

- to prepare, check and submit admission, scholarship, visa and residency applications on your behalf
- to arrange and deliver English test and NAATI CCL classes
- to contact you by phone, SMS, WhatsApp and email about your enquiry or file
- to manage fees, invoices, taxes and our business records
- to send you news about intakes, scholarships, events and our services, unless you opt out
- to understand how our website is used and improve it and our services
- to verify documents, prevent fraud and keep our systems secure

We share only what is needed with the organisations that handle your applications and run our business. We never sell your information.

- embassies, high commissions, visa application centres and immigration departments
- licensed partners where the law requires one, such as a licensed Canadian immigration consultant
- English test providers and NAATI
- banks, payment providers, couriers and translators
- service providers who host our website, email, files and messages, such as Google and Meta (WhatsApp)
- our lawyers, accountants and auditors
- the police, courts, regulators and other authorities where the law requires it, or where it is needed to prevent fraud or protect our rights, staff or clients
- a buyer, successor or new owner if our business is sold, merged or restructured
We do not sell your personal information.
Sending information abroad
Studying or settling abroad means your information must go abroad. Those countries may have different privacy laws.
Your applications require us to send your information to organisations in other countries, such as the United States, the United Kingdom, Canada, Australia, Germany and Ireland. Our service providers may also store information on servers outside Pakistan.
The laws of those countries may give different protection from the laws of Pakistan. By using our services, you agree to these transfers.
Marketing messages
We may send you news and offers. You can stop them at any time.
We may send you information about new intakes, scholarships, events, classes and our services by WhatsApp, SMS, email or phone. You can opt out at any time by replying STOP, or by telling us by any means. Messages about an active file or class will continue while you are our client.

How long we keep it
We keep information for as long as we need it for our services, the law and our protection, and then delete or anonymise it.
- Enquiries that do not become clients: up to 3 years after our last contact
- Client files: for as long as our services continue, and then up to 6 years after your file closes, for legal, tax and record keeping purposes and to defend any claim
- Class records: up to 3 years after your course ends
- Longer where the law requires it, or where a complaint, dispute or claim is open
After that, we delete your information or make it anonymous. Anonymous information that no longer identifies you may be kept and used without limit.
How we protect it
We take reasonable steps to keep your information safe, but no system is completely secure.
We limit access to your information to staff who need it, require them to keep it confidential, and use reasonable technical and physical safeguards.
Our contact forms are protected from spam by ALTCHA, a check that runs on our own server. Your browser quietly solves a small calculation before a form is sent. It sets no cookies and shares nothing with any other company.
However, no website, email, messaging app or storage system is completely secure. Information you send over the internet, by email or by WhatsApp is sent at your own risk. To the fullest extent permitted by law, we are not responsible for unauthorised access or loss caused by events beyond our reasonable control, or by the security of your own devices and accounts. Please tell us at once if you think your information has been misused.
Your choices and rights
You can ask to see, correct or delete your information, withdraw consent, or stop marketing. Some information we must keep.
You may ask us to:
- give you a copy of the personal information we hold about you
- correct information that is wrong or incomplete
- delete information we no longer need
- stop sending you marketing messages
- withdraw a consent you have given
Email info@vianovaconsultants.com from the email address you gave us. We may ask you to prove your identity, and we aim to reply within 30 days.
We may decline or limit a request where the law allows, where we must keep information for legal, tax or contractual reasons or to defend a claim, or where a request is repetitive or excessive. Information already sent to universities, embassies or other organisations is held under their own policies and cannot be recalled by us.
Children
Students under 18 use our services only with a parent or guardian, who provides or approves their information.
We provide services to people under 18 only with the agreement of a parent or legal guardian, who provides or approves the student’s information. Our website is not directed at children under 13. If we learn that we hold a child’s information without that agreement, we will delete it.
Other websites and platforms
Google Maps, WhatsApp, Facebook, Instagram and other websites follow their own privacy policies, not ours.
Our website links to, or embeds, services run by others, including Google Maps, WhatsApp, Facebook, Instagram and university websites. Those services collect and use information under their own policies, and we are not responsible for them.
Changes to this policy
We may update this policy at any time. The version on this page, with its date, is the one that applies.
We may change this policy at any time by publishing a new version on this page, with a new date at the top. Your continued use of our website or services after a change means you accept it. This policy is governed by the laws of Pakistan.
